One event is dozens of coordinated steps — the request, pricing, agreement, staffing, readiness, scheduling, logistics, communication, invoicing, and follow-up. Miss one handoff and the whole event slips. WellOps connects every stage into one system, so nothing falls through.

A category of its own
Corporate wellness never fit the tools built for other jobs. So providers stitched together software meant for something else — or handed away the very things that make the business theirs.
Practice & booking software
Built for individual appointments — not corporate events. No proposals, no staffing, no corporate client accounts. You bolt on spreadsheets and email to fill the gaps.
Marketplaces & lead platforms
Put their brand in front of your client and take a cut of your work. You compete on price and never fully own the relationship you deliver on.
WellOps
Operational infrastructure built for the corporate wellness business you already run. One connected system for the whole operation — and your brand, clients, and margin stay yours.
Purpose-built for providers who already win corporate business — not another tool to work around.
“The convenience of having everything organized in one place…outweighs any benefit of trying to coordinate outside the platform.”
The evidence
We benchmarked 50 wellness organizations for the State of Wellness Operations 2026 report and introduced the Wellness Operations Maturity Index (WOMI). The results show why purpose-built infrastructure matters — WellOps is built to close the gaps it revealed.
The problem
For most wellness providers, the service itself is rarely the hard part. The work around it is: staffing and credentials, scheduling, compliance, client communication, service delivery, and managing every account — spread across disconnected tools and a few key people.
As volume grows, that operational complexity compounds. Requests live in email, scheduling happens somewhere else, and documents, contracts, and insurance records live somewhere else again. Providers end up managing operations instead of serving clients.
That complexity — not any single missing tool — is what holds wellness organizations back. It became the foundation for WellOps.
Every part of WellOps is informed by real provider operations, real event logistics, and direct feedback from the providers using the platform.

Platform features
WellOps is built around your entire corporate wellness operation — win business, get practitioners ready, deliver events, and protect cash flow — from first inquiry to event completion, not isolated tools you have to stitch together yourself.
Replace scattered intake forms, inboxes, and quote documents with one branded front door — from first inquiry through signed confirmation, with compliance tracked alongside.
Branded corporate intake page
Your logo, your colors, your URL. Companies submit opportunities directly to your page — no marketplace, no middleman.
Proposal-to-booking workflow
Review every opportunity, send a polished quote — with supporting files attached — and get corporate sign-off through a secure link. Acceptance pre-builds the event from the quote — you're only charged the platform fee when you confirm the booking, never just for sending or accepting a quote.
Branded proposal PDF
Generate a print-ready proposal document with your logo, event details, pricing, and personal message with one click. Clients can review, save, and share it internally before signing.
Compliance, documents & insurance
Track COIs, business licenses, and expiring documents in your compliance dashboard. Event liability coverage via Coverdash — instant certificate of insurance, online, no broker required.
Coordinate the operational work — scheduling, session intake, employee booking, practitioner staffing, day-of readiness, and event documentation — in one place. Employees see a professional, branded booking experience that reflects well on your business.
Auto-generated event scheduling
Set practitioner count, session length, and optional rest buffers or scheduled breaks — WellOps generates every employee time slot automatically. No manual scheduling.
Employee self-booking & session intake
Employees see a professional, mobile-friendly booking page branded to your business. They choose their own slot, complete a brief pre-session intake, and receive an automatic confirmation. No double-booking. Intake responses appear in your dashboard before the event so you arrive prepared.
Team recruiting, staffing & credential tracking
Recruit and onboard your team through a branded apply link — applications and résumés land in one Applications tab to review, approve, or decline. Request onboarding documents (headshot, W-9, COI, or your own) through a secure upload link — no account needed for the applicant. Assign practitioners to events and track live staffing status with a readiness badge — practitioners confirm assignments through secure links, so you always know who's covered. Monitor license numbers, expiration dates, and insurance policies per practitioner — with dashboard alerts before anything lapses.
Day-of readiness & event documentation
Before the event, your dashboard shows confirmed attendee count, intake completion rate, and staffing status at a glance. Print branded sign-in sheets for on-site check-in. Generate service agreements clients sign electronically via secure link — no DocuSign account required. After the event, request feedback from your client through a branded link. Signed copies are stored automatically.
Unlimited team seats with role-based access
Add your whole team to one account — coordinators, schedulers, bookkeepers, and beyond — with no per-user fee, ever. Give each person the right role (Admin, User, or Viewer), hand off any request, event, or invoice to a teammate, and keep the discussion in one place with internal notes and @mentions — while billing, documents, and account settings stay restricted to the right people.
Track every corporate relationship, automate reminders, and turn first events into long-term recurring accounts — building a predictable corporate revenue base.
Corporate CRM & connected client history
See pipeline status, last contact, follow-up due dates, and the full connected lifecycle — every request, quote, event, agreement, and invoice — for every lead and client in one view.
Automated reminders & follow-ups
Quote expiry reminders fire automatically before proposals lapse. Invoice reminders send on a schedule — up to 3, spaced 7 days apart. You spend less time chasing and more time delivering.
Repeat revenue infrastructure
Built to convert first events into long-term relationships. Track recurring clients, set re-engagement touchpoints, and build a predictable corporate revenue base.
Referral rewards
Invite other wellness providers with your own referral link. Their first event is on us, and you earn a $99 credit toward your own event fees for every provider who gets started — applied automatically, nothing to enter.
How it works
WellOps handles the full operational lifecycle — not just the first booking.
Add your business details, branding, and a few quick compliance confirmations. Your branded corporate intake page goes live in minutes.
Companies submit inquiries through your page. Review the opportunity, send a custom proposal, and get corporate sign-off — all in one connected flow.
Create the event and WellOps takes over: slots are generated, employees self-book, agreements are sent, and confirmations go out automatically.
Track every client relationship in your CRM, set follow-up reminders, and re-engage before they think to look elsewhere.
Operational Impact Assessment
Before you evaluate software cost, calculate the coordination time your team is already spending. The WellOps Operational Impact Assessment helps estimate how much time your team invests in quoting, scheduling, employee booking, practitioner coordination, reminders, follow-up, and invoicing.
Total hours your team spends each week on quoting, scheduling, employee booking, reminders, practitioner coordination, and follow-up — about 43.33 hours a month.
What an hour of your team's administrative time costs — use a loaded hourly rate or what that time is worth to the business.
How much of that weekly administration WellOps could take off your plate by replacing manual work with a built-in workflow.
WellOps charges this platform fee per accepted event, based on your average event value.

Meet the Founder
Throughout my career, I've worked across wellness, user experience, marketing, operations, and software development. While supporting wellness businesses and service providers, I kept seeing the same challenge: corporate wellness events were valuable opportunities, but the operational work behind them was fragmented and time-consuming.
Requests arrived through email. Quotes lived in PDFs. Scheduling was often handled manually. Insurance documents, practitioner coordination, employee bookings, and payments were managed across multiple systems.
Providers were spending too much time managing the event and not enough time delivering the services they love.
“The goal was never to build another booking platform. The goal was to make corporate wellness easier to manage.”
I built WellOps to simplify those operational challenges while allowing providers to maintain their own brand, client relationships, and way of doing business. What I saw firsthand was later borne out at scale in our State of Wellness Operations 2026 benchmark of 50 organizations — most are managing mounting operational complexity, not just isolated tasks.
